1. About this notice
This notice explains how IPC Padel and Padel Eight collect and use personal information. It applies when you visit our websites, contact us, submit a form, express interest as a player, club or sponsor, or otherwise deal with us.
We are the controller of the personal information described in this notice. We process personal information under the UK General Data Protection Regulation, the Data Protection Act 2018 and, where relevant, the Privacy and Electronic Communications Regulations 2003.
2. Information we collect
We collect information you provide directly, including:
- General enquiries: name, email address, optional telephone number, organisation, job title, enquiry type and message.
- Players: name, email address, optional telephone number, town or location, postcode, club, competition interests, general playing level, Playtomic reference level and profile link, preferred court side, age, height, dominant hand, padel experience, sporting background and achievements, Instagram handle, consent choices and notes you submit. Optional profile details help us prepare player profiles and discuss participation with you.
- Clubs and venues: contact name, email address, telephone number, club or organisation name, address, role or job title, involvement preferences, facilities or venue information and notes.
- Sponsors and partners: name, email address, telephone number, organisation or individual profile, job title, website, industry or category, partnership interests, proposed support or contribution and notes.
- Correspondence: emails, messages, records of our response and follow-up discussions.
- Technical and security information: IP address, browser and device information, timestamps, verification status, form submission records, security logs and cookie or consent choices where our systems collect them.
Please do not include health information or other special category personal information in a free text field unless we specifically request it and explain why it is needed.
3. Why we use information and our lawful bases
We use personal information to respond to enquiries, assess and manage player interest and participation, develop relationships with clubs, venues, sponsors and partners, verify email addresses, prevent abuse, protect our systems, send requested updates or marketing where permitted, and maintain business, tax, dispute and compliance records.
Depending on the purpose, we rely on legitimate interests, steps requested before entering into a contract, performance of a contract, legal obligations or consent where required. Our legitimate interests include operating and developing IPC Padel and Padel Eight, answering genuine enquiries, organising competitions and partnerships, maintaining records and protecting our websites and communications.
4. Marketing communications
Submitting an enquiry or interest form does not automatically subscribe you to general marketing. Where consent is needed, we use a separate optional choice. You may unsubscribe or object at any time by using an unsubscribe link where provided or contacting us at info@ipcpadel.com.
You have an absolute right to object to the use of your personal information for direct marketing.
5. Who we share information with
We share personal information only where reasonably necessary. This may include Supabase for database and verification workflow services, Resend for verification and notification emails, website hosting, domain, security, IT and analytics suppliers, clubs, venues, event officials, insurers, professional advisers and delivery partners, as well as regulators, courts and law enforcement where required by law.
We do not sell personal information.
6. International processing
Some service providers or their sub-processors may process personal information outside the United Kingdom. Where a restricted transfer takes place, we use a lawful transfer mechanism and appropriate safeguards as required by UK data protection law.
7. How long we keep information
- Unsuccessful or inactive enquiries and expressions of interest: up to 24 months after the last meaningful contact.
- Active player, club, sponsor or partner relationships: for the relationship, then up to 6 years where records may be relevant to contracts, accounts or claims.
- Email verification, delivery and security logs: normally up to 12 months, unless needed to investigate misuse or an incident.
- Marketing records: until consent is withdrawn or you object. Minimal suppression records may be retained longer.
- Website technical logs: normally up to 12 months, subject to supplier configuration and security needs.
We may anonymise information so it no longer identifies anyone and retain the resulting anonymous information for statistical, planning or reporting purposes.
8. Security
We use appropriate technical and organisational measures designed to protect personal information against accidental or unlawful loss, alteration, disclosure, access or destruction. No internet service can guarantee absolute security.
9. Your data protection rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain processing, receive portable data where applicable, withdraw consent and complain to the Information Commissioner's Office.

10. Children
Our general website forms are not designed for children under 16 to submit independently. A parent or guardian should contact us on behalf of a child. If junior participation is introduced, we will provide suitable information and obtain parental or guardian involvement where required.
11. Cookies and similar technologies
Our websites use technologies required for security, form operation and privacy choices. We use the Google tag with analytics storage denied by default. Google Analytics cookies and analytics storage are only enabled if you choose to accept analytics. You can change your choice through the Cookie settings control in the footer.

13. Changes to this notice
We may update this notice as our services, suppliers or legal obligations change. The latest version will be published on our websites with its effective date.
